Full recovery in five days and zero outages since.
Find out how we stabilised critical booking and dispatch systems, modernised their infrastructure and built a long-term IT roadmap that supports high-volume logistics.
PROJECT
IT infrastructure recovery & cloud migration
DURATION
Initial recovery: 5 days | Ongoing partnership: 9+ years
BIG WINS
- Full recovery from a total IT standstill in just 5 days.
- Almost a decade of uninterrupted operations since migration.
- Seamless, low-risk shift to cloud and modern infrastructure.
- Long-term IT maturity, trusted partnership and clear roadmap.
Express Logistics is a UK transport and distribution company serving Northwest Greater London and nationwide. Operating with two major logistics hubs, they move thousands of pallets every month, handling multi-drop routes, time-critical deliveries and nationwide pallet network movements for manufacturers, wholesalers and retail suppliers.
THE CHALLENGE
When Express approached us in 2016, their technology was under severe duress.
They were struggling with:
- Frequent server failures impacting booking and dispatch systems.
- No clear IT support model or ownership of risk.
- A mix of ageing hardware, on-premises systems and ad-hoc fixes
For a logistics provider, every hour of downtime carries a cost: missed delivery slots, frustrated customers and pressure on frontline teams. Express needed a partner who could stabilise the situation quickly, then design a platform capable of supporting their growth.
The brief was clear:
- Restore stability and visibility fast.
- Reduce the risk of outages.
- Build a modern, scalable technology foundation for future logistics demands.
THE SOLUTION
Phase 1: Stabilise and recover
- Rapid assessment and triage – We audited existing servers, networks and key applications to understand failure points and priorities.
- Data and system recovery – We recovered critical data, rebuilt core services and brought essential operations back online within 5 working days.
- Security and access controls – We implemented basic hardening measures, password policies and access controls to reduce immediate risk.
Phase 2: Modernise and transform
- Cloud-first platform – during the relationship period, we migrated core line-of-business applications to a secure cloud environment, improving resilience, performance and remote access.
- Modern workplace & collaboration – We rolled out Microsoft 365 and integrated it with day-to-day operations, enabling depot, office and remote teams to work from a single, secure platform.
- Network and infrastructure refresh – We replaced ageing hardware with enterprise-grade networking, servers and end-user devices, optimised for high-volume logistics traffic.
- Proactive, service-led support – We introduced monitoring, incident management, change control and a clear escalation path, backed by SLA’s aligned to delivery windows and peak periods.
- Strategic roadmap – Working with senior leadership, we set out a multi-year roadmap covering security, compliance, automation and data insights to support growth and future services.
Throughout, we kept the focus on logistics outcomes: keeping loads moving, providing reliable information to customers and giving leadership confidence in the systems that underpin operations.
THE OUTCOMES
Commercial & KPI impact
- 5% on-time trunk departure maintained over 12 months, up from 93%.
- 89% reduction in unplanned IT outages, measured year-on-year.
- Billing cycle reduced from [T+7 to T+2] thanks to reliable Transport Management Systems (TMS) accounts integration.
- Protected against network penalties and surcharges due to missed scans.
- Full operational continuity was restored within five-days
- Zero downtime in the ten years since the transition – stronger business continuity and data
- Continued IT stability has helped to scale the business and increase
Operational impact
- Depot teams now work from a stable TMS with predictable performance at night.
- Trunk and delivery planners see live, accurate status for pallets across bays and routes.
- Night operations continue even if a single device or local link fails, thanks to resilient design.
Partnership
What was an immediate disaster recovery project has evolved to an ongoing partnership. Today, we act as Express Logistics’ technology partner, continually refining their depot and cloud environment so they can meet network KPI’s, win more postcode volumes and stay trusted within the Palletforce and TPN ecosystem.
